Efficient and controlled In-document collaboration with PleaseReview for OpenText Content Server

Here at PleaseTech, partnerships with other players in the document collaboration space are very important.

An example in kind is a recent blog post published by OpenText, a global player in Enterprise Content Management. It introduces the launch of PleaseReview for OpenText Content Server, their content repository system. In their blog they explain “As organizations continue to churn out vast amounts of information on a daily basis, collaboration can become more and more challenging—with issues including the navigation of various document versions, widespread email chaos when dealing with multiple reviewers, and control issues due to the lack of complete audit trails. The end result is often missed deadlines, inferior document quality, compliance issues—and then ultimately, frustrated employees.”

The purpose of this post was to publicize a webinar that was shortly to take place: ‘PleaseTech PleaseReview for OpenText™ Content Server’.

A bit of history – whilst there has been an integration in place for over 8 years between PleaseReview and Content Server, last year OpenText recognized that effective document review was a growing issue for existing and prospective clients, especially with marketing hype surrounding Office365 and SharePoint. Recognizing that to stay a step ahead of their competitors in helping organizations collaborate more effectively in the document review process, OpenText extended the existing partnership by making PleaseTech a Technology Partner. As a result, PleaseReview can now be purchased directly from OpenText as an optional module for Content Server,

 The webinar was held earlier this month introducing PleaseReview to OpenText’s audience, and was extremely well attended. This is just the first step and we will continue to support their sales force as they start to actively promote PleaseReview.

Review scenarios – PleaseTech explores the options

As we have mentioned in previous blog posts, document review is an experience most of us are familiar with and, especially in the workplace, are required to work with others to get it done (think product specs, requirements documents, regulatory submissions, marketing material, proposals etc.).  We may simply send said document out by email for review and editing, or share it with others via a shared workspace, sit around a table and thrash it out…you have probably tried a bit of everything. A recent whitepaper we have published found that amongst a specific business user community we surveyed¹, the majority (62%) rely on email. We also know from earlier research² that people using email as a means of sharing documents for review experience issues as outlined below:

 

Of course not everyone will experience the frustrations highlighted in the table above and the use of email will suit their review requirements perfectly, but there are lots of people reading this who will identify with many of the issues.  There are different review scenarios to suit different user needs, which should be considered. These range from an uncontrolled process (e.g. using email or Google Drive) through to a highly restricted one (such as PDF annotation technology). It is important to find the one that suits you, as carrying on with a ‘make do’ solution affects performance, causes frustrations, wastes time and ultimately impacts the quality of the final document.

The power of partner webinars: working with Veeva and Generis broadens PleaseTech’s reach.

Over the last couple of weeks we have held two webinars. I have to say, a well-executed webinar that brings useful information to a specific audience is hard to beat in terms of generating real interest and giving the sales folk plenty to do.

In each instance, we worked with a partner. Not only does this give us compelling content to share, but our brand/product story reaches a new audience. In fact, these last webinars have given our sales people as many, if not more, follow up leads than some of the events we pay big bucks to attend.

Firstly we were presenting our PleaseReview integration with Veeva Vault. Veeva provides life sciences organizations with cloud based solutions for regulated content management. The integration of Veeva Vault with PleaseReview provides a complete and seamless process for document collaboration: 

 

The webinar elicited a large audience of existing Veeva customers looking to enhance their current process and interested parties looking for a complete solution. The volume of questions during the event was proof that having experts on hand and a live demonstration of the software was a far more effective means of generating interest than other, more traditional, methods of communication.

Our second partner webinar was held in partnership with Generis, the creators of CARA - a fast, configurable user interface and business rules engine for the creation, approval and management of documents for leading content management platforms. The integration between CARA and PleaseReview is initially for Documentum users only and is one of the two contenders in the replacement of Documentum’s Webtop. As such, it is also geared towards providing an end to end document lifecycle solution for life sciences companies. 

In this instance, the webinar was marketed to existing CARA customers and counted both multi-national pharmaceuticals and emerging biotechs amongst the audience.

Veeva Vault and PleaseTech ‘take off’ with new integration

PleaseReview is already extensively used throughout Life Science companies, but we have high hopes of expanding this even further thanks to our most recent integration with another significant and rapidly growing player in this sector, Veeva Systems.

    Last week we announced the integration between PleaseReview and Veeva Vault.
A match made in heaven, well at least in the Cloud. 

Whilst we have several platform integrations in place which are based around on premise installations, and have many cloud customers, this is our first purely cloud-based integration. 

Veeva are specialists in cloud-based software for the Life Sciences Industry, and their Vault platform provides regulated content management applications that touch just about every part of a life sciences company - from clinical trials, to manufacturing, regulatory submissions, medical communications and marketing.  PleaseReview tackles the specific task of collaborative document co-authoring and review which, in the document-intensive and heavily regulated Life Sciences sector, is also applicable across departments and disciplines. 

The process is straightforward and user administration is managed in a single location. In practice, users simply login to PleaseReview, select documents stored within the controlled Veeva Vault repository, review and edit them within PleaseReview’s controlled collaborative environment and then check them directly back into Veeva without leaving PleaseReview.

As Life Sciences is such a regulated industry, control is a necessary consideration and a key element of both products’ success. In fact, the synergy between PleaseTech and Veeva is so strong that it led to customers asking for this integration.  Now PleaseReview can be used in conjunction with Veeva’s Submissions, QualityDocs, eTMF, MedComms and PromoMats Vaults.

We are just finalizing plans with Veeva to host a joint webinar to show how it all works in a little more detail, and I hope to be able to share that with you shortly. If you wish to be kept informed, just let us know.

 

 

PleaseTech and Oracle® introduce WebCenter Content’s new collaborative document review capabilities

It’s been a couple of weeks since we announced our PleaseTech integration with Oracle’s WebCenter Content ECM platform. We are now following that up by hosting a brief webinar to demonstrate both what this partnership brings and how it works.

Oracle’s WebCenter Content allows businesses to not only consolidate and manage their documents and content from a central platform, but now has the added capability to address a very specific, yet prolific business issue. How to collaboratively edit, review and co-author a document at the same time as others, whilst maintaining control over the document, management over the process and adherence to corporate compliance requirements. Oh, and making it easy to do, too!

The webinar will be presented by PleaseTech CEO, Dave Cornwell and Senior Principal, Product Management, Oracle.
